Choosing the right meeting room

Start with the group size and layout. A boardroom suits a discussion around one table; theatre style fits the most people for a presentation; classroom and U-shape layouts work for training and workshops where people need to write or see each other.

Then check the kit. Most business centres include a screen, video-conferencing equipment and Wi-Fi, but ask about microphones for hybrid meetings, whiteboards and flipcharts, and whether you can get into the room early to set up.

Hourly, half-day and day delegate rates

Smaller rooms are usually booked by the hour. For half-day and full-day events many venues quote a day delegate rate: a price per person that bundles the room, refreshments, lunch and equipment, which makes budgeting easier for training days and away days.

Prices vary by city, building and how far in advance you book. Late bookings in central London can be hard to secure, especially midweek, so book early for anything over ten people.

Meeting rooms for interviews, training and board meetings

Interviews and one-to-ones work best in a small room for two to four people, ideally away from busy breakout areas. Board meetings usually need a boardroom with one table for eight to sixteen people, good acoustics and a large screen. Training days need a classroom or U-shape layout with space for a trainer, plus a breakout area for coffee and calls.

For hybrid meetings, check that the camera can see the whole table and that there are proper microphones, not just a laptop on a stand. Ask the venue to test the set-up with you before the day if the meeting matters.

What to check before you book

Capacity depends on layout: a room that seats 30 theatre-style may only fit 12 around a boardroom table, so confirm the number for the layout you want. Ask how early you can get in to set up, how much notice the caterers need and what the cancellation terms are.

Check step-free access and accessible toilets if any guests need them, and how visitors should sign in at reception. Send guests the address, the nearest station and the Wi-Fi details in advance so the meeting starts on time.

Can I book a meeting room for less than an hour?

Most venues have a one-hour minimum; some coworking spaces allow 30-minute slots.

Do meeting rooms have video-conferencing?

Most business centre rooms have a screen and camera. Ask about microphones if several people are dialling in.

How far in advance should I book?

A day or two is often fine for small rooms; book two weeks or more ahead for groups over ten or for central London.

Can I cancel a meeting room booking?

Most venues allow free cancellation up to 24 or 48 hours before. Day and event bookings often have longer notice periods or deposits, so check before you confirm.
